Klinik is committed to protecting your privacy and the security of the information which you share with us.
Personal data is managed in accordance with applicable data protection legislation, including the EU General Data Protection Regulation, supplementary Danish legislation, and the corresponding Personal Data Protection Policy in Klinik.dk.
What kind of data and personal information does Klinik collect, and what is the purpose of this?
First and foremost, data and personal information is collected so that we can manage our business and our relationships with you as a customer, client, employee, supplier etc. Information may also be collected to comply with certain laws, improve products or services, as well as to resolve any legal and/or commercial matters or disputes.
In general, personal information which may be asked for and collected includes your contact information (name, address, e-mail, phone number) and identification details. The nature of our work means that we may ask for special categories of personal information such as medical and health information, but in the event that this is done, we will ask for your explicit consent and inform you of the purpose of the processing, if required. Additionally, particular attention is given to the special categories of data relating to health and we will always endeavour to retain this data for as short a time period as reasonably possibly.
Due to the varying nature of Klinik’s services, different types data and personal information may be collected dependent on the service you are engaging with. However, Klinik only collects data that is deemed necessary for a specific business purpose. In addition to collecting some forms of personal data on the basis of consent, some forms of personal data are collected as they are necessary for the fulfilment of our professional obligations to you and where such data is legally mandatory. Each service area within Klinik has its own privacy notice relevant to the data and personal information being collected.
Data is generally collected directly from you as an individual via electronic means such as use of websites, forms, Kliniks online booking portals and emails, or during phone calls with your, or other correspondence methods. We may also ask you to supply information to us from time to time, including when you report a problem with our services and when we ask you to complete surveys, questionnaires and feedback forms that we use for quality monitoring and research purposes.
It is your right to choose to provide us with personal information and to identify yourself to us, however if you choose not to provide personal information we request, we may not be able to provide you with the services you require. What does Klinik do with your data and personal information?
We are committed to ensuring your data and personal information is secure, preventing unauthorized access or disclosure, and having in place physical, electronic and managerial procedures to safeguard the information. All data provided is held in a secure and relevant business system or archive appropriate to the purpose of the business and processing needs. This may be in electronic or paper format, where safeguards have been put into place to protect your data and personal information from loss, misuse and unauthorized access. Klinik’s data access and safety procedures are continuously revised. Klinik strictly limits the access to your personal data to people and entities that have a need to use your information for our business purposes. Some of your data may be transferred and processed by certain suppliers, e.g. IT suppliers, who process the information on behalf of Klinik. Klinik has carefully selected and agreed data processing agreements with our suppliers to ensure an adequate level of data protection is adhered to at the same level that you can expect from Klinik.
In some specific cases, Klinik may use your data for direct marketing use in accordance to the applicable consent regulations in each business area and country so that we can offer additional services and similar opportunities that we believe will be of value to you. We retain your data and personal information for as long as necessary to fulfil the stated purpose, and/or be in compliance with legislative requirements, and with specific reference to the laws on time-barring of claims. Personal information comes under periodic review to ensure it is still necessary to retain. Each of Klinik’s business and services has specific legislation and retention guidelines to adhere to. We endeavour to hold information which is accurate, up to date and relevant. You should contact us via the relevant business or service if you think your personal information is incorrect, for us to take the appropriate steps to correct it. Additionally, in the event that you wish for us to delete certain data about you, please contact us and we will proceed with the deletion of your data to the extent reasonably possible (please note that there may be grounds for retaining some data on a legally mandatory basis).
What are your rights regarding your data and personal information?
It is your right to choose which information to provide us, however, if you choose not to provide the personal information we request, we may not be able to provide you with the services or information you require. You have the right to access your personal data, to rectify incorrect information, delete, limit and data portability. You may also object to the processing of your personal data including automated and individual decisions. In the event that we receive a request from you relating to insight, rectification, erasure, or similar of data, we will respond to you without undue delay and no later than one month after the request is received (although in the event of a complicated request, we note that this deadline can be extended by one month, and you will be notified about this).
You also have a right to lodge a complaint with the relevant supervisory authority – in Denmark this the Data Protection Agency (www.datatilsynet.dk).
